Identify the full storage
Verify the account address in the warning and review its Google storage breakdown. Record whether email, Drive, Photos or backups dominate. Avoid buying capacity for the wrong account.
An inventory directs cleanup towards the service actually consuming space.
Find large messages with a search
In Gmail web, enter has:attachment larger:10M. Open results and preserve needed attachments or conversations. The search finds candidates; it does not establish that they are disposable.
Reviewing a few large attachments may be more useful than deleting many tiny emails.
Consider effects outside Gmail
If Photos or Drive dominate, review those files before deletion. Consider whether a listed WhatsApp backup is needed for chat recovery. Removal may affect other devices or a future restore.
Do not reduce quota by sacrificing the only copy of needed content.
Review remaining trash
Some trashed content continues counting until permanently removed. Inspect it before emptying and download and verify anything to preserve. Avoid approving unreviewed bulk deletion.
The action freeing quota can also remove the possibility of recovering those items.
Allow the counter to update and test new mail
Google notes that a large cleanup can take time to appear in the counter. Recheck status and send a small test to an address you own. Ask senders to resend messages rejected while storage was full.
Available capacity and successful new delivery are the checks; a previously rejected message may not appear automatically.
When to stop and ask for help
If unsure what to remove, preserve data and compare capacity options for the account. Ask the administrator about work or school quotas instead of granting a cleaner full mailbox access.
